What Is a Materials Coordinator?
The materials coordinator is responsible for various duties associated with inventory management and oversight over materials and products. They inspect and record equipment and product shipments and process maintenance requests and work orders.
The materials coordinator is also responsible for procurement traceability, including tracking equipment and materials and maintaining the integrity of the material masters.
The job requires utilizing and familiarizing with the client’s supply chain and logistics tools and processes for managing the supply and movement of drilling materials and services.
Material Coordinator Duties and Responsibilities
The materials coordinator is responsible for the following:
- Tracks movements for the repair of all rig components and equipment
- Initiates all purchase orders for service work
- Maintains records of materials, equipment, supplies, and spare parts
- Confirms S/N’s on “materials on hand” to various parties
- Maintains efficient stores management practices and processes to retain equipment and spare parts’ integrity in storage
- Aids the receipt of time-sensitive materials that require immediate processing
- Issues purchase orders (POs) from the company’s enterprise resource planning (ERP) application
- Provides purchase order documents and support to the warehouse staff for the physical goods receipt process
- Processes purchase order receipts and tracks POs for overdue materials
- Assists with arrangements for a third-party inspection of the lifting fear before being sent offshore
- Inspects, stores, preserves, and logs backloaded (MOH) materials to ensure they are fit for service when needed
- Review backload manifests and contacts base to prioritize the delivery of time-sensitive backload containers
- Acts as a point of contact for those checking on the status of procured materials.
- Prepares urgent air transport packages, obtains approval, arranges courier transport, and tracks material movements to ensure item delivery.
- Updates Material Requisition logs with delivery updates and material transactions.
- Coordinates material transportation from suppliers to the warehouse
- Processes custom export forms for international transportation
- Coordinates transportation of repair and return items from onshore warehouse to designated service providers
- Provides detailed and timely manifest reports of all outbound materials going offshore
- Provides Logistics/Procurement departmental support during absences, as required
- Manages inventories and provides material control and coordination
- Provides effective material and inventory control within the onshore supply and maintains inventory levels and values
- Performs periodic reviews of vendor/supplier performance and accountability (quality of personnel, service, etc.)
- Develops metrics to monitor goals, such as timely delivery, cost reduction, improved supplier performance (KPI), etc.
- Ensures no material shortages
- Coordinates and reconciles inventory counts, inventory reporting, and dashboard creation
- Monitors and controls all inventory to ensure accuracy
Other Job and Skill Requirements
- Relevant years of experience in materials management
- High school diploma or an equivalent (GED)
- PMAC certification
- Computer literate and proficient with MS Office products
- Numerical competence
- Strong organizational and analytical skills
- Self-motivated and able to work without close supervision
- Ability to identify and convey hazards, warnings, and alarms to appropriate personnel
- Good communication skills
- Teamwork
- Result focused
- Able to carry up to 10 lbs.
- Able to stand/sit while performing primarily sedentary work
- Ability to gather, analyze, and interpret data.
- Ability to multitask, meet deadlines, work in a fast-paced environment, reason logically, and make sound decisions.

Materials Coordinator Education and Qualifications
- High school diploma or an equivalent (GED)
- PMAC certification
- IATA Dangerous Goods by Air
- IMDG Dangerous Goods by Sea
- Offshore and/or onshore experience
- Necessary Medical certificates
- Minimum Industry Safety Training (MIST) certificates
- Valid HUET/BOSIET Certificate
